The personal data we hold is your contact data, related to specific planning projects. The personal client data consists of your name, address, billing address if different, email addresses, telephone numbers and website address if applicable. We do not hold sensitive personal client data or your sensitive personal financial data.

Your personal data is used for administrative and business purposes, including providing fee proposals and confirming instructions for planning work on specific projects; for providing project updates; for including on planning application forms and local plan promotion forms and for the purposes of invoicing etc. Occasionally, your personal data is shared with other consultants in order for them to provide you with fee proposals and information for project related work and to seek formal instructions directly from you. We will obtain consent from you first before we share your personal information with other consultants.
How long we retain your personal information
In order to comply with HMRC practices, your personal data will be stored for 6 years and then hard copies will be destroyed and electronic information deleted.
How we secure your personal information
We keep the hard copy of your personal data within lever arch files which are stored in lockable filing cabinets in our office. Our office is protected by a regularly service security alarm (First Protect) and a CCTV system (Nest Aware).
We keep the electronic copy of your personal data on laptop/pc hard drives, which are protected by regularly updated security software (Kaspersky). The on-site hard drive back system up is encrypted. The off-site (cloud) back-up systems we use (Dropbox, Google Drive and icloud) all have their own security protection. Passwords for these off-site back-up systems are kept securely in the Kaspersky Password Manager system. We also keep your personal client data on off-site accounting and time charge systems via applications (XERO and WORKFLOWMAX), which have their own security.
